Below are the terms and conditions that include all the essential booking information. Action Nepal Treks is a registered trekking company under the Nepal Companies Act. You must read all the information carefully before booking any packages. The client will be signing the terms and conditions agreement with the company before departing to any trips. These terms and conditions legally bind you (the Client) and us (the Company, Action Nepal Treks) to strictly adhere to the protocols outlined below.
Booking a Trip terms and conditions
The term “Trip” on this website covers all activities and itineraries, including trekking, hiking, climbing, sightseeing, and adventure tours, offered by us. It represents any product or service you purchase or engage with through our platform.
Your trip is officially confirmed once you receive an email from us, which serves as the quickest way to acknowledge and secure your booking. From the moment you receive this confirmation, your trip is guaranteed.
Contract formation
A contract is established once Action Nepal Treks accepts your reservation details, creating a binding agreement between the company and the client.
Before confirming any trip, the company reserves the right to adjust listed prices. Please note that the company disclaims any warranties, agreements, or service descriptions not expressly stated in the contract.
Required deposit
To confirm your booking with Action Nepal Treks, a non-refundable deposit of 10% of the total trip cost is required within two weeks of your inquiry. This advance payment secures your spot and allows us to arrange essential services like hotel reservations, flight tickets, permits, and Trekkers’ Information Management Systems (TIMS) cards. Payments can be made via bank transfer or through a secure credit card transaction (Visa, MasterCard). We will provide additional details via email for direct deposit instructions.
The remaining 90% of your trip cost is due upon your arrival in Nepal, typically during the pre-trip briefing at our office, before the departure date. Final trip documentation will be issued once full payment is received. You can settle the balance by bank transfer, cash, or credit card. Please note that credit card payments incur a 4% surcharge, so we recommend paying in cash to avoid these extra charges.
Payment Methods
Once your trip request is approved, you need to make the specified payment to confirm your booking. Payments can be made via bank transfer or credit card (Visa or MasterCard). Carefully complete the payment details as provided. After filling out the booking form on our website, we will email you with payment instructions.

For clients who need to book trips on short notice, Action Nepal Treks offers a special provision for Nepal trips. If you can make 100% payment 24 hours before the trip starts, we can accept your last-minute booking. Cancellation policy
Company-Initiated Trip Cancellations
In rare instances, unexpected events beyond the control of Action Nepal Treks or the client may lead to trip delays or rescheduling. If a trip must be canceled due to circumstances like religious, cultural, political, or economic factors, and local authorities prohibit participation, clients will be offered the option to switch to a similar trip or reschedule their dates. While we strive to accommodate these changes, Action Nepal Treks cannot be held responsible for such cancellations.
Client-Initiated Trip Cancellations
Clients who have paid in full for a trip and wish to cancel must submit a written notification to Action Nepal Treks. The date of this notification will determine the applicable refund amount, with charges based on a percentage of the total trip cost. Refunds will be issued as follows: 85% if canceled 45 days or more before departure, 70% for 30-44 days, 50% for 15-29 days, 30% for 7-14 days, and no refund for cancellations made less than 7 days prior to departure.
Non-Refundable Situations
No refunds will be provided to clients who withdraw from the trip after it has commenced, regardless of the reason. Additionally, unused portions of the trip, such as accommodations, transportation, meals, or services, are non-refundable. Clients are advised to consider these policies carefully before initiating a cancellation.
Trip Amendment
Unforeseen circumstances like weather or landslides may require changes to the trip itinerary during your journey. In such cases, Action Nepal Treks will provide timely guidance to ensure your safety and trip continuity.
If clients wish to amend their trip for personal reasons, they must notify the company in writing. Amendments made more than 30 days before the departure date incur a fee of $50 per person. Requests made within 30 days of departure will be subject to the same charges as cancellations, as payments to hotels, guest houses, and other service providers are made in advance.
Trip Cancellation by company
Action Nepal Treks reserves the right to cancel any booked trip due to circumstances beyond our control, such as natural disasters, flight cancellations, strikes, or government interventions. If such cancellations occur for client safety before departure, we will refund 50% of the trip cost, as third-party payments for services like transportation and accommodation have already been made.
Please note that significant changes to your trip do not include adjustments like changes in airline carriers, flight schedules, or accommodations of the same category. The company is not responsible for incidental expenses or losses, such as non-refundable travel tickets, visa issues, or other fees, that may arise from trip cancellations or alterations.
Medical conditions and Special requirements
Clients must inform Action Nepal Treks in writing about any medical conditions that could impact their fitness for the trip at the time of booking. Failure to disclose such information may result in the client being refused travel with no refund provided. It’s important to consider factors like age, pregnancy, or other conditions that might affect your mobility during trekking and select a suitable trip accordingly.
While we strive to accommodate special requests, such as dietary needs, these do not form part of the contract, and the company is not liable if such requests are not fulfilled. Additionally, medical facilities may vary by country, and Action Nepal Treks makes no guarantees regarding the standard of medical care available during your trip.
Travel Insurance
Traveling in the remote Himalayan regions carries inherent risks due to unpredictable factors like bad weather, landslides, and floods. While we prioritize your safety and strive to minimize these risks, accidents, though rare, can occur. Therefore, comprehensive travel insurance is mandatory for all our trips in the Himalayas.
Your insurance must cover the entire duration of your trip, including protection against accidents, injuries, medical emergencies, and emergency evacuations, such as helicopter rescues. It’s also recommended that your policy includes trip cancellation, curtailment, and loss of personal belongings. You must carry proof of insurance and be prepared to present it upon request. Without valid insurance, Action Nepal Treks reserves the right to cancel or suspend your participation in the trip without refund.
Changes in Itinerary
While we strive to adhere to the planned itinerary, mountain adventures often require flexibility due to unforeseen circumstances beyond our control, such as weather conditions or other natural factors. When these situations arise, we may need to adjust the itinerary to ensure your safety and the success of the trip.
Rest assured, any changes made will be with your best interests in mind, and we will make every effort to stick to the original plan as closely as possible. Your understanding and adaptability are appreciated as we navigate these unpredictable elements together.
Paper and Documents
All necessary documents must be carried with you in the proper order and presented when requested by Action Nepal Treks. You will also be required to send us scanned copies of certain documents for purposes such as flight or accommodation reservations during the booking process. We are not responsible for any issues arising from incomplete trip formalities due to the absence of essential papers and documents before the trip departs.
Visa and Passport
You must carry a valid passport and have obtained the appropriate visa when traveling with Action Nepal Treks. Please ensure your passport is valid for 6 months beyond the duration of the trip. It is your responsibility to ensure you have the correct visa for Nepal. The company will not be responsible for your refused entry to Nepal due to a lack of correct visa documentation. For most countries, a Nepal visa is available on arrival in Nepal.
Clients Privacy
When you book with Action Nepal Treks, we will ask for certain information to complete your reservation. Rest assured that any private or personal details you provide will only be used for the booking process and necessary arrangements for your trip. Action Nepal Treks do not share or use your information for any other purposes.
Injuries and Evacuation
Action Nepal Treks is not responsible for any injuries, health issues, or emotional conditions that may occur during the trip. Our package cost does not include personal insurance. Therefore, we strongly recommend that clients purchase comprehensive insurance coverage. This should include medical emergencies and helicopter evacuation if needed.
Services missed or unused
No refunds or discounts will be given for missed or unused services, including early departure from the tour, whether voluntary or due to circumstances like illness or late arrival.
Health and Fitness
Trekking in the remote Himalayas requires good physical fitness, so it’s wise to consult a doctor before planning your trip to Nepal. Please inform us of any existing medical conditions or disabilities that could impact your ability to travel or require special medical attention during the trek.
Children
All travelers under 16 must be accompanied by a legal guardian. More details about age requirements and suitability will be shared via email.
Discount Policy
Action Nepal Treks offers special discounts during holidays and off-seasons for specific trips. These deals are available for a limited time, and to benefit from them, clients must book within the specified offer period. Discounts don’t apply to bookings made before or after the offer timeframe.
For groups of 6 or more, we provide a 10% discount per person on the standard price. We also offer special rates for student groups interested in volunteering in remote Nepali communities, as part of our commitment to community welfare. Additionally, we collaborate with international agencies and offer competitive rates for business-to-business partnerships.
Holiday changes
Traveling with Action Nepal Treks requires flexibility and understanding, as transportation, accommodation, or itineraries may change without notice due to local factors like flight delays, weather, or roadblocks. In such cases, refunds aren’t possible due to prior supplier arrangements, but we will offer alternative trips of the same category. Action Nepal Treks is not liable for any job loss, delays, or compensation due to these changes.
Supplement Charge
At Action Nepal Treks, all our trip packages, including rooms or tents, are based on twin sharing. If you prefer a single room or don’t have a roommate, an additional charge will apply for the single room supplement.
Risk and Responsibility
At Action Nepal Treks, your safety and enjoyment are our top priorities. Action Nepal Treks is committed to delivering organized and smooth trips with a skilled team to make sure your experience is memorable. Every trip is conducted in accordance with Nepal’s government regulations.
However, unexpected events like government restrictions, landslides, road blockages, strikes, flight cancellations, delays, illness, or accidents may lead to changes in the itinerary. In such cases, Action Nepal Treks is not responsible for these changes, and any additional costs will be the client’s responsibility.
Trip duration changes
The company will not make any refunds in case any booked trip is completed prior to the duration set on a trip package, but the client must pay an extra amount it the trip exceeds the duration mentioned in a package.
Responsible tourism policy
We are committed to benefiting local people, tourists, the environment, the government, and the tourism industry. Action Nepal Treks encourage you to follow our guidelines to ensure the best experience during your trip.
Your personal belongings
Our crew does their best to keep your luggage safe during the trip. However, if your belongings are lost or damaged while being carried by our porters, ponies, or vehicles, the company cannot be held responsible. We recommend getting comprehensive insurance to protect against these risks.
Dispute settlement
If a dispute arises, it will be resolved in the courts of Kathmandu, Bagmati Province, in accordance with Nepalese law. By agreeing to these terms, you agree that any legal issues will be settled in the courts mentioned.
Compensation
If the company is required to pay compensation, the amount will not exceed what the client originally paid to the company.
Enforcement of Terms and Conditions
If any part of these terms and conditions goes against local laws and can’t be enforced, only that specific part will be considered invalid. The rest of the terms will still apply.
Publicity
By participating in a trip with Action Nepal Treks, you agree that the company may use any photos taken during the trip for promotional purposes without prior notice or compensation. However, if you prefer that your images not be used for publicity, just let us know, and we’ll respect your request.
